Important Update on video conferencing within The Education Centre

There has been significant change in the way video conferencing is being used in the education centres. Please take time to review the details below to decide which room to book to ensure it is suitable for the software/platform you want to use for your video meeting.

Vidyo Connect

Rooms where Vidyoconnect can be used

Heartlands rooms: 4, 5, 7, 8, 9, 10, 11, 12.

Good Hope rooms 3 and 5.

Solihull rooms 1 and 3.

Booking a room

Please use Bookwise to check availability and request a room booking. (username: guest password: guest) You can Filter by equipment "VideoConferencing" to show all compatible Vidyo rooms.

Getting a Vidyo account

If you require a Vidyo account please log a ticket with the IT Service desk including your name and email address.

Hosting a meeting

To host a meeting in one of our rooms you will need to login to the VidyoConnect software installed on the PC. Please refer to the following user guide on how to invite guests. Download host a meeting user guide

Joining a meeting as a guest

You do not need a Vidyo account to join a meeting as a guest. Providing you have been sent a invite link to join the meeting. Please refer to the following user guide for joining a meeting as a guest. Download user guide for guests

MS Teams

Rooms where MS Teams can be used for video meetings

Heartlands rooms: 4, 5, 7, 8, 9, 10, 11, 12.

Legacy Xuper/Yealink - HGS VMRs

Rooms where HGS VMRs can be used for video meetings

Heartlands rooms: 1, 2 and 6.

Good Hope rooms 2 and 4.

Solihull rooms 2, 4 and 6.

Booking a room

Please use Bookwise to check availability and request a room booking. (username: guest password: guest) You can Filter by equipment "HGS VMRs" to show all compatible rooms. Please note you will need to liase with the reception teams when booking a HGS VMR room to schedule a time in a suitable virtual meeting room. Please make sure you do this before the meeting.

Usage

The HGS VMR rooms are now mainly to support our legacy MDTs that still connect using IP based calls. They can also be used for video calls when connecting with other HGS VMR rooms. e.g. Room 1 at Heartlands to Room 4 at Solihull etc.

Joining a VMR from a PC as a guest

You can connect to a meeting on the HGS VMRs via a PC or laptop providing you have a webcam/mic installed and the Google chrome browser. Please follow the instructions. Download guide for joining the meetingplatform via a browser You will need to check with the meeting organiser or Education centre reception team to find out what VMR is being used for the meeting.
